Executive Assistant to CEO

Los Angeles, CA (Hybrid)

Noctal is an AI startup reshaping sound design for the future of video. We’re building something bold and moving fast. To keep that momentum, our CEO needs a sharp, proactive, and trusted partner to help run the day-to-day across work, operations, and life. This role combines executive support with project coordination, task tracking, and real-world logistics. You’ll help with everything from managing calendars and internal coordination to organizing marketing assets, email triage, supporting light task tracking in Jira, preparing content, and handling real-world logistics like mail, errands, or in-person meetings. You’ll become a core part of the company’s execution flow, while helping protect the CEO’s bandwidth to build. By clearing bandwidth for high-leverage work and ensuring daily execution runs smoothly, you’ll play a key role in helping Noctal ship faster, grow more effectively, and scale smarter. We’re looking for someone local to LA, available for a part-time contractor role (~25–30 hours/week) with flexibility to handle some in-person responsibilities.

What You’ll Do

Executive & Operational Support:
  • Manage scheduling, calendar flow, travel planning, and meeting prep

  • Draft notes, internal updates, and occasional investor materials

  • Track action items, assist with internal documentation, and keep comms organized

  • Occasionally attend meetings or events in-person on behalf of the CEO

  • Act as a bridge between the CEO and team leads (COO, Engineering, Design), helping maintain alignment across priorities, blockers, and timelines

Marketing & Content Coordination:
  • Organize and track content calendar + design tasks with Noctal’s creative lead.

  • Coordinate with the CEO to draft and schedule light-touch social content that aligns with Noctal’s brand, product milestones, and fundraising efforts.

  • Research and maintain a living archive of investor, partner, and competitor comms to repurpose into updates, decks, or pitches.

  • Support founder vision by translating ideas into organized execution

Task & Workflow Tracking:
  • Tracking CEO inbox inbounds, flagging urgent messages, and occasional draft responses

  • Maintain visibility of key priorities across tools like Jira, Slack, and Google Docs

  • Turn meetings, Slack threads, or offhand ideas from the CEO into clear, trackable tasks

  • Coordinate lightly with engineering leads to ensure priorities are reflected in Jira

  • Support weekly sprint summaries and reporting to keep the founder and team aligned

Real-Life Logistics (as needed):
  • Handle mail, workspace coordination, appointment scheduling, or local errands

  • Assist with one-off setup tasks (e.g. coordinating service calls, purchases)

  • Run logistics that remove friction from the CEO’s day and mental bandwidth

Minimum Qualifications:
  • 1+ years in a startup, agency, or executive support environment

  • Extremely organized and comfortable managing high-velocity schedules

  • Strong writing and communication skills that are clear, clean, and professional

  • Must be based in LA and available for in-person tasks or meetings as needed, typically a few times per week, depending on what’s happening.

  • Familiarity with tools like Notion, Jira, Slack, and Google Docs

  • Comfortable handling both company and personal tasks with discretion

  • Able to operate independently, manage time effectively, and anticipate needs without being micromanaged

  • Thrives in fast-moving, ambiguous environments where priorities shift and no two days look the same

  • Comfortable toggling between high-level context and small operational details

Bonus If You Have:
  • Experience with marketing content, social media scheduling, or design ops

  • A background in media, entertainment, or creative startups

  • Interest in growing into operations or chief-of-staff-type roles over time

  • Familiarity with Figma

Details:
  • Type: Contract (1099)

  • Hours: 25–30 hours/week

  • Compensation: $25/hr

  • Location: Los Angeles, CA (Hybrid – must be local)
